When you make a booking with Grays CabLine — either by phone, online, or through our mobile app — we may collect the following personal information: your full name, phone number, email address, pickup and drop-off addresses, travel date and time, flight number (for airport transfers), any special requirements you mention, and payment information (processed securely through our payment provider — we do not store card details).

3. How we use your data

We use your personal data to: process and manage your taxi bookings; contact you regarding your booking (confirmation, driver details, updates); monitor and adjust pickups in line with flight tracking data; send you booking receipts and invoices; manage corporate account billing; respond to enquiries and complaints; and comply with our legal obligations as a licensed operator.

4. Legal basis for processing

We process your personal data on the following legal bases: Performance of a contract — processing is necessary to fulfil your booking. Legitimate interests — to improve our services and communicate with existing customers. Legal obligation — to comply with licensing and regulatory requirements.

We do not sell or share your personal data with third parties for marketing purposes. We may share data with: the driver assigned to your booking (name, pickup/dropoff, phone); payment processors (Stripe/Square) to handle card payments; our software platform providers who help us operate our service, all of whom are bound by confidentiality agreements; and regulatory authorities if required by law.

6. Data retention

We retain your booking information for a maximum of 7 years for accounting and legal compliance purposes. If you have a corporate account, we retain account data for the duration of your account plus 7 years. You may request deletion of your data at any time, subject to our legal obligations.

Under UK GDPR you have the right to: access your personal data; correct inaccurate data; request erasure of your data (where no legal obligation requires retention); object to processing; request restriction of processing; and data portability. Our website uses essential cookies required for it to function correctly. We also use Google Analytics to understand how the site is used, and Google Ads conversion measurement to see which adverts lead to bookings. Analytics and advertising cookies are only set if you accept them: when you first visit, you are asked to accept or reject, and nothing non-essential is stored until you choose. You can change your mind at any time by clearing this site's data in your browser, which will bring the choice back. Analytics data tells us things like which pages are visited and how people reach us; it is not used to identify you personally.
